objectives
To reduce the number of expensive desktop printers while capitalising
on the faster, cost efficient multi-functional devices. Secondly to
reduce considerable floor space / costs by reducing on and off site
document storage. The considerable cost of external storage was
a priority.
Client
profile
Professional consultancy in areas such as quantity surveying, project
management, building surveying, management consultancy, software development,
facilities management and 15 other disciplines including engineering
and design-related professions. The client has 40 offices worldwide,
23 within the UK and employs in excess of 2,500 people.
Solution
ICA spent time understanding the clients needs, concentrating initially
on the copy, print and scan requirements, then electronic document management.
To date ICA has installed over 50 multi functional products, enabling
the client to reach their objectives of cost and space saving whilst
streamlining their complete print and copy systems. In addition
to this an analysis of print and copy requirements by floor and by department
enabled ICA to strategically place devices in accessible, central locations,
to reduce the number of consumable hungry desktop printers. Additional
software has enabled the client to control workflow, preventing over
or under usage.
The client had historically built up 12,000 filing boxes, stored externally,
and over 250 filing cabinets internally. This was highly inefficient
and had large cost implications. After lengthy consultation ICA
recommend a Laserfiche software solution. Implementation has enabled
the client to drive down the number of paper documents through digital
scanning, whilst giving instant access to electronic documents
through their own intranet site.
